It's Sunday night, and you're rebuilding the rota again. A holiday request, a chef who can't do Friday, a new starter's availability you forgot to check — and the version you built on Wednesday is already wrong.
Kitchen scheduling isn't hard because the maths is hard. It's hard because it changes constantly, and every change has to be checked against opening hours, minimum rest periods, under-18 restrictions, and whoever's already close to their contracted hours this week. Get any of that wrong and it's not just an awkward conversation — it's a compliance problem.
Say rebuilding and re-checking the rota takes you 3.5 hours a week — realistic once you count swaps, no-shows, and last-minute changes. At even £25 an hour, that's your time, not the floor's: £455 a month spent on admin instead of covers. Get the staffing wrong just once — one overstaffed Tuesday lunch, say two extra pairs of hands on a five-hour shift at £12 an hour — and that's another £120 gone in a single service.
The rota isn't the problem. Rebuilding it four times a week is.
Why generic scheduling software doesn't fit a kitchen
Most rota software is built for retail — flat shifts, one role, predictable footfall. A kitchen runs sections, split shifts, and demand that swings with covers forecasts, not a calendar. Generic tools don't know your commis can't run the pass alone, or that Friday dinner needs a different headcount to Tuesday lunch.
A spreadsheet is even less help — it doesn't flag a Working Time Regulations breach, doesn't know who's already worked six days straight, and definitely doesn't rebuild itself when someone calls in sick at 4pm.
Where Chef's Intelligence fits
The People & Training zone of Chef's Intelligence — Axom AI's plugin suite for Claude — builds rotas around your actual team: availability, contracted hours, section skills, and forecasted covers. It flags compliance issues before they happen, not after a payslip query, and it covers onboarding and reviews too, so the admin doesn't stop at the rota.
It's still your call who works Friday. It just stops you burning Sunday night working it out from scratch.
